QUALITY ASSURANCE
The quality assurance is a fundamental for all work undertaken by the Zavvers. It will always be the objective of the Company to achieve the highest degree of quality in its products and services commensurate with requirements as defined and agreed in the client's specification. We know as a fact that, the biggest strength that we should have in order to achieving this objective successfully, is concentration of development and retention of competent human resources through a proper management system. Every employee in our organization will be clearly informed about organization’s rules, regulations, procedures standards, rewards and punishments which are practiced at Zavvers, during the initial induction program at their work commencement.
We believe creating and retaining a competent employee is the best investment that a company could do more than any other investment you do on human resources or on equipment. As an award paying employer, we always value hard working and value adding employees within the organization and we are legally and ethically bound to provide, every benefit stated on the cleaning award as it is and more for the highest standard of quality that we are expecting them to provide in return, as to motivate and appreciate their work.
In order to ensure continuity of performance and also to develop competency, we have established and maintain an effective Quality Assurance Program through internal Quality Assurance audits which the standards are enforced through our own management inspections. Main purpose behind on those internal audits, is to recognize how well our standards are maintained and also to determine how competent the staff is to carry our values, especially under no supervision. Therefore these audits are carried out with and without notice to our employees in randomly or regular basis. We believe this system works extremely well to motivate our employees, consequently they work more efficiently and effectively to produce the highest quality standards or will seek assistance to improve.
Zavvers always encourage our employees provide a cleaning service with absolute professionalism and passion with an attitude to provide more during the allocated time. Passion and positive attitudes always lead towards best result and that will enable us to deliver services up to or exceeding customer expectations. Eventually the effort will lead everyone to cover the scope of the contract and to meet the performance requirements of the agreement successfully with a highest standard.
Monitoring Standards
Each project site will be allocated a contract manager and a supervisor who would be responsible for maintaining the communication with customer, managing cleaning personals by allocating them for shifts and monitoring the personal and corporate standards are maintained, maintaining adequate stock of cleaning materials all the time and most importantly to assure cleaning service is up to the standard that is specified by customer.
We intend to use accelerator cc as our contract management software with other extensions to stay connected with our clients in a convenient way. Accelerator cc is designed specifically for the cleaning industry to manage accounts, sales, jobs, work orders, schedules, inspections, employee management and supplies in one place. As to maintain a highest standard of cleanliness within all our work sites, we will be undertaking site inspections weekly basis and provide rating on each tasks as per the cleaning inspection checklist. Audit results are input directly on to the system by our site supervisors using their mobile phones or i-pads provided. Results of audits are reviewed randomly and a monthly report will be generated along with other reporting requirements such as,

As accelerator cc will allow us to record, manage and retrieve all the relevant information in one place.
Current implemented system of Zavvers to manage WHS, requires manual data entry, we have identified that risk of losing information and documents to be outdated, could cause serious issues on maintain accurate, real time information. Therefore, Zavvers will be using Myosh software as their WHS management system, in order to recording and maintaining every information which is related to WHS, OHS, Risks and work place injuries. This will enable us to record and maintain up to date real time information and to communicate any WHS issues to the team instantly. Using Myosh also will allow to conduct internal employee H&S inductions, trainings as we design. Further since this is an automated H&S management system, every entry will be recorded in relevant registries automatically and management will be able to easily follow up any incident to determine the current status on the incident and take actions as necessary.
Customer Complaints
Our cloud base software connect cc will provide access to all our customers to submit any complaints or work orders or special requests as occurred. This creates an alert on site manager’s and supervisor’s system and will provide immediate attention to resolve the matter within 24 hours or customer will be notified if we require more time. All complaints are reviewed on a monthly basis by the Managing Director and will be updated in monthly performance report.
Staff Training
Every eligible applicant will be required carry out the online induction provided by BSCAA/Cleaning Council WA, at their own expense and should provide a copy of the induction certificate as a mandatory requirement to commence work at Zavvers.
In house induction presentation will be conducted to all new employees providing information about company’s rules and procedures, code of conducts, standards and reporting requirements.
Hands on on-site induction and training will be provided on tools, equipment and materials that are using in a regular basis at the first day of the shift.
All of our cleaners are experienced with demonstrated skills in cleaning work practices. Ongoing training and supervision is provided by Site Managers, supervisors or other selected third party institutes as necessary. Training covers but not limited to:
• Correct use of cleaning compounds
• Correct use of cleaning accessories
• Correct use of cleaning machinery
• Waste management
• Dust control
• Carpet care and cleaning
• Use of personal protective equipment
• Hard floor surfaces care and cleaning
• Toilet/bathroom cleaning
• Hygiene and infection control
Detailed plan of employee training, records and checklists will used to identifying, managing and maintaining employee’s training records up to date. Follow the Attachment 01 to find out Zavvers WHS induction booklet as reference.
As to create a safer working environment to all our employees, they are strongly required and have right to refuse, operate an equipment or machinery which is not been trained appropriately and should made a request for a complete training on the functionality of the equipment prior to operating.
Safety
Machinery – every machinery is PAT tested on an annual basis. Defective equipment should tagged immediately and notify supervisor or manager as soon as possible.
Employees are not expected to use any of faulty machinery once they have identified as faulty unless otherwise supervisor or manager officially confirmed as they have been repaired or replaced.
Color Coding
Color coding of materials and equipment is an important measure to reduce the chance of cross infection.
Zavvers use the following colour coding system:

Wash basins and washroom surfaces - Red

Sanitary appliances and washroom floors - Yellow

General food / bar use - Green

General Cleaning – Blue

Glasses and Mirrors – Special window cloths
Chemical, Materials, Equipment and Machinery
It is our Policy to make sure that staff and users of the facility, will not expose to hazardous chemicals or substance that might use in cleaning services and to take reasonable actions to prevent any losses that someone would suffer due to unsafe work practices. (Zavvers comprehensive H&S manual could be provided upon a formal request as a further reference)
Therefore, it is mandatory for all our cleaning personal to practice following precautions, in order to create a safer environment for every user.

Any hazard signage should be clear and concise and written in an easily understood manner.

Material safety data sheets (MSDS) and Risk Assessments will be kept, maintained and reviewed for all cleaning chemicals in current use, and shall be easily available for reference in case of accidents.

Cleaning chemicals should be appropriately labelled identifying, product, safety precautions and hazard information, correct dilution and method of application.

Personal protective equipment (PPE) should be used for every cleaning task, and replaced when defective.

Training will be provided to all staff on correct and safe use of chemicals and machinery.
A regular inspection program by management and supervisory staff will be carried out, to monitor chemical safety will include the following criteria:

We intend to carry out external audits in order to obtain industrial standards such as ISO 9001, AS 4801 and ISO 14001 to provide an extra assurance for our clients that we are bound to maintain quality service for all our customers.
